Packing and Shipping¶
For whom: stock and shipping · Where: Admin → Stock → Packing station tab
The packing station is the form for the carton: a large scan field, next to it the target list of the delivery note and below it what is still missing. It is built for use with a scanner — not for typing.
Prerequisite
The Packing station tab appears with the merchandise management module. A delivery note in the state Draft or Packed can be packed; an already issued document is rejected.
1. Start a packing process¶
Admin → Stock → Packing station
The list shows the packable documents — not all open ones. A click starts the process; the scan field gets the focus.
There is only ever one packing process per document
Anyone who opens the packing station a second time for the same delivery note lands in the running process — with what the colleague has already scanned. There cannot be two separate counts of the same carton.
2. Scanning¶
- Scan the label — the number moves into the target list, the row turns green.
- The field empties and keeps the focus; the next scan works immediately.
- The progress is shown large next to it, for example 1 / 3.
The scan books nothing and changes no device state — it ticks off. Booking happens on issuing.
Four responses when a number does not fit:
| Message | Meaning |
|---|---|
| This serial number is unknown. | The number does not exist in the house — wrong label or typo |
| This serial number is not on this delivery note. | A foreign device in the carton |
| This device is not in stock. | It has already been delivered or booked out |
| This serial number has already been scanned in this process. | Scanned twice |
Articles without a serial number get a quantity field instead of the scan field — the packed quantity is confirmed there.
3. Capturing packages¶
Below the target list, packages can be created: per carton, weight and the three dimensions. The section can be expanded and is optional — it serves freight billing and evidence.
4. Completing¶
"Packing finished" completes the process. The delivery note goes to Packed.
A half-full carton is rejected
If something is still missing, DiKAS reports this with the missing list in plain text — which number is missing is in it. This is not harassment: a carton reported as complete that is not costs a complaint later.
Partial delivery¶
If the rest is to go later, there is "Complete as partial delivery" — the button only appears if something is really missing.
What happens then:
- The delivery note keeps exactly what was packed and goes to Packed.
- The rest moves to a new draft, the remainder delivery note — with customer, address and references as a copy and without a number.
- The reservations of the missing devices move along to the remainder document.
The remainder delivery note does not announce itself
It sits as a draft in the list of delivery notes. Anyone who delivers in parts regularly sees it there — there is no notification.
Anyone who has packed nothing at all cannot make a partial delivery; the process is then aborted, with a reason.
An abandoned packing process is ended
If nothing happens for 12 hours, DiKAS ends the process by itself and notes this. The next packer sees it explicitly and starts cleanly anew. The cleanup does not release reservations — the delivery note holds those; they are released by cancelling the document.
5. Shipping¶
Shipping is recorded on the delivery note, not at the packing station: open the document → "Ship".
| Field | What belongs in it |
|---|---|
| Carrier | Who takes the shipment — freely enterable |
| Tracking numbers | The carrier's numbers, several separated by commas |
| Reason | Only needed if there is no tracking number |
The tracking number is entered, not generated
DiKAS does not register the shipment with a parcel service, prints no label and does not query a delivery status. You enter the number you got from the carrier. If there is none, there is none.
Without a tracking number, it only works with a reason
Self-collection, own driver, courier without tracking — these are real cases. The reason is then on the document and in the shipping mail. This way, "has none" remains distinguishable from "forgotten".
Shipping books nothing — issuing has already done that. It records who took the goods.
The shipping notice to the customer is a mail of its own with carrier and tracking number, without an attachment. If there is no number, it states the reason instead of staying silent.
A practical example¶
Three terminals are on the delivery note, two are in the carton.
- Open the packing station, choose the document, scan two labels. → Progress 2 / 3, one row red.
- "Packing finished" is rejected: the missing list names
SN-003. - "Complete as partial delivery" → the document carries two items and goes to Packed; a remainder delivery note with
SN-003sits in the list as a draft. - Issue the document →
LS-0001, two devices at the customer, stock level falls by 2. - Ship with carrier and tracking number → the customer gets the shipping notice.
- As soon as the third device is there: pack, issue and ship the remainder delivery note.
When something does not work¶
| Message or observation | Cause | What to do |
|---|---|---|
| The document is not in the packing station list | It is already issued or cancelled | Only Draft and Packed are packable |
| "This serial number is not on this delivery note." | Foreign device in the carton — or the draft does not carry numbers yet | Add the numbers to the document first, then pack |
| "Something is still missing." with missing list | The carton is incomplete | Add the rest or complete as a partial delivery |
| "Complete as partial delivery" is missing | Nothing is missing — or nothing has been packed yet | If nothing is packed, abort the process |
| The process was ended by itself | 12 hours without movement | Restart; the reason is on the process |
| "Please provide a tracking number or a reason." | Both are missing on shipping | Enter a number or give a reason |
| The stock level did not fall on shipping | Issuing has already booked | Not an error |
