Statistics¶
For whom: owner and purchasing · Where: Admin → Stock → Statistics tab
The statistics answer four questions at a glance: What is in the house? What is open? What happened in the period? And how fast do the suppliers deliver?
Prerequisite
The Statistics tab appears with the merchandise management module. The View stock levels permission is enough to view it.
Choosing the period¶
Above the evaluation are From and To as well as three quick selections: Last 30 days, Last 90 days and Current year. On opening, the last 30 days are set.
Two kinds of figure — the difference matters
The "Current status" block describes the house today. These figures do not change when you move the period — "open orders" shows the same figure in January as in June, because it answers the question "what is open right now?". Only the "In the chosen period" block follows the date selection.
Current status¶
| Key figure | What it says |
|---|---|
| Stock value | Quantity times average purchase price, across all storage locations. Below it the breakdown per stock with article count |
| Open orders | Everything except closed and cancelled |
| Open delivery notes | Everything except delivered and cancelled — a shipped document counts as long as it is on its way |
| Open complaints | All cases that have no conclusion yet |
| Devices in total | All tracked devices, next to it the breakdown per state |
The Devices per state breakdown shows only states in which something really sits. Seven zeros and two real figures would be harder to read than two rows.
The pure system stocks are not in the stock value
The internal stocks for receipts and issues (goods receipt, goods issue, loss) are counter-bookings, not goods. If they were in the value list, a business with €4,000 of goods value would look like €8,000.
In the chosen period¶
| Key figure | What it says |
|---|---|
| Issued delivery notes | Counted by the issue date — a document drafted in December and issued in January is a January delivery |
| Of which shipped | Documents whose shipping falls in the period |
| Complaints | Cases created in the period, broken down by state |
| Purchasing volume | Net total of the period's orders, broken down per supplier |
| Delivery notes per state | How many documents were created in which state |
Orders without a stored supplier visibly appear as the row "No supplier" — they are not calculated away, otherwise the sum of the rows would give less than the total volume, and nobody would see why. Cancelled orders do not count.
Turnaround time from order to goods receipt¶
The key figure measures how long the business waits for its suppliers: from placing the order to the first goods receipt. A partial delivery counts — the question is "when did something arrive?".
Average and median are shown in days; below it, it states how many orders the calculation covered.
Why two figures
The average shifts strongly if a single order sat for half a year. The median — the value in the middle — then better describes what normally happens. If the two are far apart, there were outliers.
"Cannot be determined" is not a zero
If no order in the period carries both the placing and a goods receipt, a sentence appears instead of a figure. A 0 would read as "delivered the same day" — and that could not be distinguished from the truth.
Orders from the time before the changeover do not carry these timestamps and are left out. That is why the base count always appears next to it: "Calculated over 12 of 15 orders" says exactly what the figure is based on.
Stock turnover and cost of goods¶
Both are not here, but in the stock report under Admin → Reports → Stock. There, sales, receipts, loss per reason and the period's cost of goods are shown per article and per stock.
A practical example¶
The owner wants to know where he stands before the quarterly meeting.
- Admin → Stock → Statistics, quick selection Last 90 days.
- Stock value €18,400, of which €15,200 in the main stock — the rest is spread over two secondary stocks.
- Open orders: 4 — two of them for over a month; a glance at the Orders tab shows which.
- Purchasing volume €9,800, of which €6,100 with a single supplier — a reason to talk about terms.
- Turnaround time: average 9.4 days, median 4.0 days, calculated over 12 of 15 orders — there were outliers, normally the wholesaler delivers in four days.
When something does not work¶
| Message or observation | Cause | What to do |
|---|---|---|
| The Statistics tab is missing | Merchandise management module is not switched on | Switch on the module |
| "No permission for this stock function." | The View stock levels permission is missing | Permissions overview |
| "Open orders" does not change with the period | As intended — it is a reference-date figure | — |
| The turnaround time says Cannot be determined | No order in the period carries both timestamps | Widen the period; older orders do not carry the timestamps |
| The stock value is lower than expected | Articles without a stored purchase price count as €0 | Check the average purchase price in the Stock levels tab |
| A supplier is missing in the purchasing list | Its orders are outside the period or cancelled | Check the period |
| Stock turnover is missing | It is in the stock report | Stocktake and reports |
